Analysis Project Part 2 - of Organizational Behavior   and Section # of Analysis Project Part 2 - Description of Organizational Behavior   Q 1: What mechanisms are used for collecting data about the functioning of the organization? Data collection mechanisms make the process much easier and efficient and it also reduces the chance of errors, thus it makes the research process more efficient. These mechanisms include different methods and techniques of data collection, instruments used in the process and timing and frequency of research process. Other mechanisms include the target and indicator production methodology. The data could be collected in different ways, such as survey, or filling questioners, interviewing or even by group discussions. In this case, I used the technique of filling questionnaire, because like this I got the opinion of a larger group and thus can make my research more affective. Instruments used in these regards are the survey forms, questionnaires etc. The target must be clear in the whole period and the data collection must be done in a way that helps in the production of efficient results in the end. Q 2: Is there an appropriate division of labor, is work done efficiently, and are workers sufficiently trained to do their jobs? Division of labor or specialization is the specialization of supportive labor in particular, confined tasks and roles, which are intended to increase the output and efficiency of labor. It is known that more complex division of labor is related to the growth of total production and trade, which gives rise to capitalism. It is an important part of the industrialization process and is a source of economic interdependence. The advantages of division of labor are given as follows1: 1. It enables workers to focus on the tasks and jobs, which they can do best. 2. It is more efficient in terms of time and productivity. 3. Training time is reduced. 4. Workers become more skilled and confident in a particular task. There are few disadvantages as well, given below: 1. It can make workers feel more relax and a bit irresponsible and this will affect production negatively. 2. Repetition of the same task may affect the employees’ work negatively. 3. It grows dependency on a particular worker. 4. The knowledge of the workers is limited, as they have little opportunities in their job. The employees are well trained in the organization, but it is difficult when a new employ is hired. It cost the organization a fortune to train a new employ and as mentioned above in the disadvantages, few employees become over-confident and start paying less attention to their work. According to him or her, they are doing this task for so many years and now they need no training or improvement. This kind of attitude affects the organization negatively. Q 3: Do employees have specified areas of responsibility and is their work well defined? There are different tasks assigned to different people and they are given autonomy in their respected areas. Principal takes care of the activities in the school and checks the educational standard and the activities of students in the school. Principal also checks the sports activities and whether the students are participating in the sport competitions or not. So in this way, each and every employee is assigned a task and management checks whether they are working properly or not. The tasks are assigned to them according to their qualifications and all the employees’ work within the boundary of their defined task. Q 4: Do work groups operate effectively? Working in groups yields better production and more efficient results, and is achieved by the combined efforts of the group members. All the members of the group contribute their talents, knowledge and ideas in order to present their best result. But work groups do not work effectively all the times, or we can say that not all the groups’ presents best results. The reason behind this is that an individual cannot work as quickly as they can. There are some requirements for working in group, which is patience, good communication skills and commitment. A group can only work effectively when all the members are committed to contribute their share efficiently and honestly. When students are told to work in groups, it excites them and they enjoy the whole learning process. It improves their skills of negotiation, delegation, teamwork, cooperation and leadership. They learn to work in diverse environment and also learn from their peers. The mentioned skills cannot be taught to students from books and lessons, they learn these skills when they work in groups and interact with their classmates. It is useful especially for the isolated students and it can be used for real world work on authentic real world projects. Another thing is that group assessment is more public and accountable for its intentions, results and conclusions. Q 5: Do managers perform organizing roles and have an appropriate span of control? Managers are responsible for supervision and for checking whether the workers are doing their jobs or not. We cannot ignore the role of manager in the organization. They are involved in the recruitment process and are responsible for the finances of the organization. The mangers do have an appropriate span of control and they handle different problems, which occur in the organization. Managers in the organization are performing their roles in an appropriate way, but the problem occurs while dealing with some appropriate employees. And these employees are those, who are working for quiet a long period of time in the organization. These certain employees think that they can violate few rules of the organization and can make changes in the rule in a way they want to. But this attitude is alarming for the manager, because he knows that this will affect the other employees as well. The new employees will not only notice these things but will try to follow them as much as they can. So in this scenario, manager controls the situation and makes it clear for each employee that rules are meant for all workers and they have to follow it all the times. Q 6: Does the group have effective task and social leadership? The group has effective task and their task is to maintain the educational standards of the school. This task is well defined and every member of the group work for this in their capacity. Though, everyone works in a different way and management guides him or her if someone is going off the track. The leadership is not a social leadership, because they work and get paid for their work. And management keeps a check on them, and they have to work properly in order to maintain their jobs. Q 7: Does management work with the correct assumptions about employees? Management does not always work with the correct assumptions about employees, because there is favoritism and personal contacts everywhere. Workplace politics plays a great role in this scenario, and people of a certain group likes to pull the other people out and try to make management believe that they are not capable enough to work in the environment. This kind of situation is created mostly for the new employees, as they are new and don’t know many people, they have to work hard in order to show the management that they can work good and are capable enough to continue working. Q 8: How does decision-making occur and is it effective? Decision-making is the result of mental process, which is to select an action among many alternatives. Decision-making occurs after carefully analyzing the whole process and scenario. This occurs when the management carefully analyzes a particular issue and listens to each side. After listening to the both sides, they discuss the issue with the board of directors and the responsible staff person, which leads them to a clear view about the subject. After discussing the issue in a meeting with the directors, management announces their decision and yes it is effective. Which shows that the manager controls the decisions of the organization. Q 9: Is the interface of technology and individual workers effective? Yes, workers are encouraged to make maximum use of technology and they show personal interest in this. New technology attracts the employees and they want to know more about it. All the workers know that technology will make their work easier and it will also gave them new and modern ways to make their work better. But at the same time, they are feared that they might loose their jobs because of technology.
